Business Gmail data worth calculator
If your company runs on Google Workspace, years of client and team conversations sit in Gmail, and AI developers pay to license that kind of correspondence once it is cleaned up. Enter your users, how long you have kept mail and how Gmail sorts it into tabs, and the calculator keeps the real conversations, removes duplicates and private threads and prices what is left. It also checks your mailbox sizes against your Workspace plan and estimates the size of a full export.
From every email to usable conversations
How your Gmail is valued
Only the Primary tab is priced, because that is where Gmail puts mail between people. Updates, Promotions and Social are automated mail with no training value.
Count every email
emails = users × emails per day × 250 × years
Keep the Primary tab
The Primary share of the four tabs is kept; the rest is dropped.
Merge duplicates and group into threads
Internal mail sits in every recipient's mailbox, so duplicates are removed. The rest is divided by four emails per conversation, and personal threads are excluded.
usable = primary × (1 − duplicates) ÷ 4 × (1 − private)
Price the conversations
Each usable thread is worth $0.03 to $0.18, adjusted for industry, region and English share. Redaction is assumed to be automated.
Check storage and export size
Mailbox size is emails per user times the average size, compared with your plan's pooled storage per user. An MBOX export is about 30 percent larger because attachments are stored as text.
Questions about the value of business Gmail data
Is business Gmail data worth anything?
The conversations in it can be. Years of emails between your staff, clients and suppliers show how your business negotiates, solves problems and delivers work, and AI developers license that kind of real correspondence once personal details are removed. Newsletters, receipts and notifications are worth nothing and are filtered out.
Why use Gmail's inbox tabs to value email?
Gmail already sorts every message into Primary, Updates, Promotions and Social. Primary is where person-to-person conversation lands, so it is a quick and fair way to estimate how much of your mail is real business correspondence. You can check the split by opening a few mailboxes.
How do I export Gmail for a whole company?
Google Vault, included in Business Plus and Enterprise, can export every user's mail as MBOX files. On other plans, each user can export their own mail with Google Takeout, or an admin can use the Data Export tool. MBOX exports are larger than the mailbox because attachments are stored as text.
What happens when a Workspace account runs out of storage?
Gmail stops receiving new mail for that user once the pooled storage is full, and senders get a bounce. Business Starter is the plan most likely to run out, because it has 30 GB per user shared across Gmail, Drive and Photos.
Do employees need to agree to their email being licensed?
Company email accounts usually belong to the company, but privacy laws and employment contracts still apply to personal content in them. Personal threads are excluded, names and contact details are removed, and many companies tell staff before any data is shared. Get legal advice for your country.
