Email archive value calculator
Years of company email hold thousands of real business conversations, and AI developers pay to license them once the noise and personal details are removed. Enter your mailboxes, how long you keep mail and which teams send it, and the calculator filters out newsletters, duplicates and private threads to show how many usable conversations remain. It then prices them by department and compares the result with what you spend storing the archive.
From stored email to usable conversations
Each step removes mail a buyer would not pay for. Only the last bar is priced.
Value by department
Threads are split by your department mix and priced with each department's weight.
| Department | Usable threads | Weight | Low | High | Share |
|---|---|---|---|---|---|
| Total |
How the archive is valued
Buyers don't pay for gigabytes, they pay for real conversations they can learn from. So the calculator first works out how many of those your archive holds, then prices them.
Department weights: technical 1.3, support 1.2, sales 1.1, operations 1.0, and finance, legal and HR 0.8 because so much of it has to be redacted.
-
Count the stored email
stored = mailboxes × emails per day × working days × years
-
Remove the noise
Newsletters, alerts, receipts and spam come out first. Then duplicate copies are merged, since an internal email to five people is stored five times.
-
Group into conversations
The remaining messages are divided by the average number of emails per thread. Threads that must stay private are taken out.
usable = stored × (1 − noise) × (1 − duplicates) ÷ thread length × (1 − private)
-
Price the threads
Each usable thread is worth $0.03 to $0.18 before adjustments, times the department weight, industry, region, English share and redaction level.
-
Compare with storage
Stored email times the average size gives the archive size. At $0.12 per GB per month for archive and backup, that becomes the yearly cost shown next to the value.
Questions about email archive value
Why would anyone pay for old company email?
Email is the most complete record of how a business actually works: how quotes are negotiated, how problems are solved, how projects are handed over and how decisions get made. AI developers want that kind of real working conversation to train assistants for business tasks, and very little of it is public.
Does the whole archive get sold?
No. Newsletters, notifications, receipts and spam are thrown out first, duplicate copies are merged, and messages with sensitive personal content are held back. What a buyer pays for is the remaining set of real conversations, which is often less than half of what is stored. The funnel in the calculator shows each of these steps.
What counts as a usable thread?
A thread is one conversation: the first email and every reply to it. It is usable when it is written by people rather than systems, is not a duplicate, and does not need to be withheld for privacy reasons. Buyers price whole threads rather than single messages because the back and forth is what makes them useful.
Why are some departments worth more than others?
Technical, support and sales email tends to contain complete problem and solution exchanges, which are the most useful for training. Finance, legal and HR mail is weighted lower because much more of it has to be redacted or removed, not because the content is less interesting.
How is employee privacy protected?
Before any email leaves the company, names, addresses, phone numbers, account numbers and other identifying details are removed or replaced with placeholders, and private or personal threads are excluded. Your privacy policy, employment contracts and laws such as GDPR and CCPA decide what can be shared, so involve whoever handles legal and compliance early.
How does storage cost compare to the archive value?
Most companies only see email as a cost: archive storage, backup and e-discovery licences. The calculator puts the yearly storage bill next to the licensing value so you can see how many years of storage the archive could pay for.
